Strata

Management of property involves many and often troublesome details that consume valuable time and energy on the part of the owner. We work closely with councils to ensure that the properties are well maintained and managed both physically and financially.

  • Hold separate trust bank accounts for each property/strata managed as well as Strata and Contingency Funds, as required by the Act, and invest funds as approved by Council.
  • Collect monthly assessments and any special assessments for deposit and subsequent disbursements on behalf of the Corporation.
  • Collect of all delinquent accounts and registration of Form G’s and H’s, if necessary.
  • Approve, process and pay all invoices.
  • Maintain records of, and collect other charges such as parking, fines and arrears.
  • Prepare annual operating cost budget for approval by Strata Council and owners at Annual General Meetings.
  • Perform accounting on an accrual basis.
  • Pay all accounts payable for the property. Provide monthly or quarterly reports to Strata Council, including financial statements, bank statements and bank reconciliations.
  • Prepare notices for the annual meetings, general meetings, and special meetings. Prepare the agendas and proxies, organize the meetings and assist with the appointment of new Council Members.
  • We have developed a comprehensive welcome package for Strata Corporations. The welcome package provides new owners with considerable information about how a condominium works. A little education goes a long way in helping resolve potential conflicts.
  • Provide and process forms under the Strata Property Act, Forms B, F and K.
  • Administration of contingency fund as directed by Strata Council and in accordance with the Strata Property Act.
  • Prepare and distribute minutes of Strata Council and General Meetings as instructed by Strata Council
  • Maintain the Strata Corporation’s records in accordance with the Strata Property Act. Perform any other duties that may be required from time to time for the efficient management of the Strata Corporation’s business affairs.
  • Arrange regularly scheduled maintenance items such as window and gutter cleaning, carpet cleaning, fire inspections, and start-up and shut-down of underground sprinkler systems.
  • Building inspections arranged and conducted every 6 months to ensure maintenance standards are being met.
  • Dispatch appropriate maintenance and trades people as required.
  • Negotiate all service contracts & Handle the tendering and bid process for major repairs and maintenance items, or for special projects.
  • Maintain 24 hour emergency access. Dispatch appropriate trades in emergency situations. Our key trades people are available to us on a 24 hour basis for emergency call outs.
  • Ensure that all contract items are maintained at as reasonable a level as possible while maintaining standards set by the Strata Council.
  • Supervise repairs to the property and advise the owner of any necessary maintenance or repairs if required.
  • Act as intermediary for each owner in regards to the Corporation and the Rules and Regulations.
  • Attend Council and general meetings as specified in the Contract, to answer questions pertaining to financial statements and operational matters, and to provide advice and recommendations dealing with the Strata Property Act and relevant legislation.
  • Prepare correspondence and reply to inquiries made to and on behalf of the Strata Corporation.
  • Update Council on operations of the complex.
  • Assist in preparation, monitoring and enforcement of Strata bylaws.
  • Work with Council to plan future requirements for the Strata Corporation’s contingency reserve and to highlight areas for which special attention may be required in the future.
  • Generally, to liaise with all owners to ensure peace and harmony within the complex.
  • Promptly deal with all individual unit owners’ questions, concerns and problems regarding the operation of the development.
  • Manage relationships with regulatory authorities as required and advise Council regarding compliance with the Strata Property Act.
  • Owners and Council/Board Members have on-line access to a secure login on QPM’s website where they can view confidential condominium information including minutes, by-laws, building notices, maintenances schedules and more.
